For employees, planning a vacation well in advance is essential to maintain work-life balance, manage personal commitments, and protect approved benefits. But when managers unexpectedly deny or cancel the leave request, it can lead to frustration, disappointment, and workplace stress. Such decisions often disrupt travel plans, family responsibilities, or important personal events, putting professionals in a tough spot. It can also raise concerns about fairness, communication, and employee rights within the workplace. Recently, career counsellor Simon Ingari shared a similar story of one such employee on his X-handle.

Manager refuses advance leave request

As per the post, the employee’s manager declined his leave request for a vacation that the professional had sent one month in advance. But the employee’s sharp response left the manager thinking again about the decision.

When the employee revealed that he had sent his vacation request a long time back, the manager explained that he could not approve it because unforeseen business needs might arise during that period. The employee initially responded professionally, noting that he had provided ample notice specifically to help the company prepare for his absence.

Employee demands on-paper record

When the manager continued to offer uncertain reasons and suggested postponing the vacation until later in the year, the employee shifted the conversation. He requested his manager to formally document the reason for denying the leave request. Basically, the employee wanted his manager to write the reason for refusing his leave on paper, so that it would be kept on record.

The manager appeared reluctant to the employee’s request, stating that there was no need to document it. But the employee firmly explained that maintaining written records was important to ensure transparency and accountability, especially if the matter needed to be reviewed by others in the future.

Key takeaway from the conversation

The employee also stressed that paid time off is an earned workplace benefit and should not be restricted based on vague assumptions or unclear possibilities. While the manager argued that the decision was meant to protect business interests and encouraged flexibility, the professional made his stance clear: He was willing to be flexible with planning, but he wished not to surrender approved benefits simply because ‘something might come up.’

The employee pointed out that delaying leave requests indefinitely often results in never being able to take their earned time off. His assertive response forced the manager to reconsider the refusal. By insisting on fairness, proper documentation, and clear business justification, the employee effectively highlighted broader concerns many professionals face regarding leave policies, workplace rights, and managerial accountability.
